Marketing Coordinator & Executive Assistant

About the Job

Lincoln Construction is currently looking for a Marketing Coordinator & Executive Assistant who is organized, friendly and happy to help with various tasks around the office. 

  • Marketing/Events
    • Compile proposals, marketing packages, mailers and presentations
    • Analyze marketing materials inventory and ensure all products are consistently available and up to date.
    • Archive and file proposals and track marketing leads
    • Verify/update various databases via phone
    • Inventory Lincoln apparel and order twice a year
    • Assist with LCI events and holiday cheer
    • Manage and update proposal materials on a quarterly basis – manage electronic files
    • Manage and develop internal company newsletter
    • Help develop quarterly email touch base with 500+ distribution
    • Work with web design team to maintain and update website
    • Develop and manage project profile information and assist with in-house developed marketing materials
  • Answering 8 line phone system
    • Screen calls, take detailed messages and deliver to appropriate people
  • Process and open mail
    • Process all general mail, UPS, certified mail and courier services
  • Supplies
    • Take office supply inventory weekly
    • Order supplies from Janton, Staples, Westcamp
  • Skills
    • Filing, faxing, copying as needed
    • Proficient in Word, Excel, Outlook, Powerpoint (Quark/Adobe InDesign is a plus)
    • Assist in creating Excel spreadsheets, Word docs and maintaining databases
    • Internet research (Google Analytics)
    • Manage travel arrangements
  • Provide administrative support to President and Chairman/VP’s as necessary
    • Manage calendar, travel plans, expense reports, files and correspondence
