Office Manager/Executive Assistant



The Office Manage/Executive Assistant is responsible for managing
the day-to-day business activities for the corporate office and supporting
senior executive management- including managing schedules, organizational
information and variety of general office duties.  You should be well organized, flexible and
enjoy handling a wide range of administrative and executive support related responsibilities.

 

Responsibilities: 

  • Manage front desk staff of two full time receptionists.
  • Serve as the internal and external primary point of contact
    an all matters relating to the day-to day office operations.
      Ordering supplies, interfacing with property
    management.

  • Calendar management and coordination of meetings and appointments.
  • Coordinating travel arrangements including flight, hotel,
    transportation, and meetings.

  • Assist in writing contracts proposals for customers; ability
    to accurately proof read material prior to submission.

  • Managing and organizing documentation and correspondence.
  • Maintain relationships with vendors.
  • Anticipating and prioritizing the needs of the senior
    executive management team.

  • Perform other duties as assigned.

  Qualifications: 

  • 2+ year administrative
    support experience, working with or supporting senior executive management.

  • AA degree
    in Business, Communications, Marketing, English or similar, or equivalent
    experience.

  • Proficient
    computer skills using Microsoft Work, Excel, PowerPoint, and Outlook.

  • Excellent
    verbal and written communication skills required.

  • Ability to
    work independently on assigned projects with little or no supervision as well
    as accept direction on given assignments.

  • Maintain
    the confidentiality of all sensitive communications.

  • Professional
    appearance and telephone manner are essential.

  • Ability to
    work with others using courtesy, tact and good judgment.
